What happens if you find a billing discrepancy?
- Speak to your account manager first. They will appreciate it if you bring this to their attention. Your account manager will investigate the issue and determine the best course of action.
- When you talk with your account manager, have your details ready, including the dates and times of service.
- Collections are handled by a dedicated team at System4. Our goal is to keep all our customers' invoices paid on time. However, sometimes customers are late in making payments.
How can we help you?
- Account managers are assigned by territory. Upon becoming an approved System4 IPS Affiliate subcontractor, you will meet with your account manager for an onboarding meeting.
- Additionally, our Office Manager, Rachelle Dunning, is available to assist with onboarding and billing questions you may have.

Have a backup plan if you are sick or going on vacation
Access issues? Contact your Operations Rep ASAP if you are unable to access an account due to key or alarm issue.
Know paper product supply levels. Let the customer know when things are running low.
Check your monthly statement as soon as you receive it. If there are questions or issues, contact the office ASAP.
See something, say something.
If you notice anything out of the ordinary when servicing the account, contact the Operations Rep.
Mistakes happen. Call office immediately to report if you damage or break customer property.
Before changing service day, notify customer in advance.
Be aware of Holiday Schedule. Don't assume an account is open/closed without confirming.
Remember to label your equipment & supplies. If there's a change-out or client termination, your belongings are clearly marked. Misunderstandings are avoided.
