STEP #2: Check the status of your CORPORATION
- Have you set up your LLC or Corporation yet?
- If you already have your LLC or Corporation, are you maintaining it by continually submitting your annual report and paying the annual fee to your State?
- Have you let your LLC or Corporation lapse or expire? When you fail to submit your Annual Report or Annual Fee to the State, your corporation may become inactive.
- Once your LLC or Corporation is active and in good standing you are eligible to fill out an Application to become an Approved Cleaning Company with System4 IPS.
STEP #3: Check the status of your INSURANCE
Are your insurance policies active?
Here are the insurance policies you need:
- Liability Insurance - $2,000,000 in aggregate and $1,000,000 per occurrence
- Deductible - $500 per incident on General Liability
- Care Custody and Control coverage is included
- Lost Key Coverage up to $100,000
- Customers automatically added as Additional Insured / Certificate Holder
- Janitorial Surety Bond - the amount of $50,000 per occurrence
- Worker's Compensation - coverage in the amount of $500,000
- You can purchase these annual policies from one insurance company or from various companies like:
- AllState, Hartford, Progressive
- Or search online for "insurance companies for cleaning business"

Access issues? Contact your Operations Rep ASAP if you are unable to access an account due to key or alarm issue.
Know paper product supply levels. Let the customer know when things are running low.
Check your monthly statement as soon as you receive it. If there are questions or issues, contact the office ASAP.
See something, say something.
If you notice anything out of the ordinary when servicing the account, contact the Operations Rep.
Mistakes happen. Call office immediately to report if you damage or break customer property.
Before changing service day, notify customer in advance.
Be aware of Holiday Schedule. Don't assume an account is open/closed without confirming.
Remember to label your equipment & supplies. If there's a change-out or client termination, your belongings are clearly marked. Misunderstandings are avoided.
