When you see, smell or hear something strange, tell System4 IPS or your supervisor right away.
No detail is too small!
You make buildings look great, smell fresh, and feel healthy. But you also hold the key to help our customers in RI, CT, and Western MA save money and avoid big problems!
What is "Predictive Maintenance"?
It just means fixing things before they break completely.
Bad way: Something breaks (like a pipe bursts!). This is messy and expensive.
Good way (YOU!): You notice a small problem (a strange smell, a tiny water stain) and tell us. We alert the client to fix the small problem before it becomes a huge, costly repair. You are our eyes and ears!
Why YOU Matter!
As a cleaner, you're in the building every day. That means you might be the first to notice:
Look for:
- Bad smells from drains.
- Small, damp spots on walls or ceilings.
- Strange buzzing sounds from lights.
- Warm air from vents that should be cool.
- Rust or odd stains around sinks/toilets.
These small signs can mean a bigger problem is starting!
Why It's Important in Our Area
In Rhode Island, Connecticut, and Massachusetts, buildings face:
- Snow and salt in winter
- Humidity in summer
- Older buildings that need regular care
Your Call (or Text) Saves Money and Headaches!
When you see, smell or hear something strange, tell your supervisor right away. No detail is too small!

- Keeps people safe: Some problems (like electrical issues) can be dangerous.
- Makes equipment last longer.
For example, in Hartford, CT, a cleaner noticed a damp carpet and a mildew smell. They reported it, and it turned out to be a small HVAC leak. Because it was caught early, the repair cost was low, and the building stayed safe.

you are being a superhero, preventing bigger problems and saving a lot of trouble!
How to Report:
- Tell your supervisor or System4 IPS right away.
- Be specific: "Musty smell near the back wall, third floor hallway" is better than "Something smells bad."
- If safe, show your supervisor where the problem is.

Access issues? Contact your Operations Rep ASAP if you are unable to access an account due to key or alarm issue.
Know paper product supply levels. Let the customer know when things are running low.
Check your monthly statement as soon as you receive it. If there are questions or issues, contact the office ASAP.
See something, say something.
If you notice anything out of the ordinary when servicing the account, contact the Operations Rep.
Mistakes happen. Call office immediately to report if you damage or break customer property.
Before changing service day, notify customer in advance.
Be aware of Holiday Schedule. Don't assume an account is open/closed without confirming.
Remember to label your equipment & supplies. If there's a change-out or client termination, your belongings are clearly marked. Misunderstandings are avoided.
